Colleague Feedback Survey 2023: You Said, We Did - Corporate Services

Marketing and Communications

Following our 2023 Colleague Feedback Survey, the Marketing and Communications team has committed to work together to continue to create a dynamic and positive culture. They have completed their workforce plan and the team has been fully staffed since January 2024. They are now working to ensure everyone feels that their workload is manageable by reviewing work practices, identifying clashes and managing priorities. They are also creating and sharing a coherent marcomms strategy so everyone knows what work they need to do and how that work contributes to Glasgow Life's strategic priorities.

To make sure that everyone feels appreciated for the work they do, the team has added a dedicated slot in team meetings to celebrate successes and achievements and regularly shares evaluations from their projects and events so that everyone can see the impact of their work.

 

Business and Strategy

Following our 2023 Colleague Feedback Survey, the Business and Strategy team committed to celebrating how well they serve their customers. They are achieving this by regularly highlighting and sharing best practise of team and individual successes at team meetings, as well as through a new noticeboard in the kitchen area. They have also embedded opportunities to give and receive feedback in their team culture, and are introducing a new newsletter to share updates, promote Learning and Development opportunities, and offer feedback. 

The Business and Strategy team has also committed to improving Learning and Development opportunities within the team by completing training needs analysis as part of performance management discussions, developing a menu of L&D opportunities, and identifying time in the working week to complete these. Their next Team Development Day has been scheduled for 25 September.

As a direct result of our 2023 survey, the Business and Strategy team has created mechanisms which give all colleagues the opportunity to put their views and ideas forward including the use of voting tools, activities at team meetings to capture ideas and feedback to shape future agendas, and promotion of the Ask Susan mailbox.

 

Finance and Retail

Following our 2023 Colleague Feedback Survey, the Finance team has committed to celebrating their good work ethos and now host wider team meetings so everyone can have their voices heard.

The team has been celebrating their positive working environment and their individual and collective successes throughout the year.

They are working to make communication across the team more effective and have improved the timing of performance reviews to identify learning requirements and training opportunities earlier.

The Finance management team has also taken positive action to ensure all colleagues feel that their opinion matters and that they are empowered to influence the future of finance.

The Retail team has been celebrating their focus on the customer and their commitment to providing the best customer experiences for visitors to our shops.

They have been working to improve learning and development opportunities for all colleagues and have regularly been celebrating individual and team successes.

The team has committed to creating a working environment where colleagues can have their voices heard and contribute their ideas on how the Retail service should operate.

 

Infrastructure Support

As part of our 2023 Colleague Feedback Survey, colleagues in Infrastructure Support committed to sharing knowledge and learning opportunities across our Facilities Management, Health and Safety, and Special Project teams.

The team spent a day learning about traditional building maintenance at the Scottish Lime Centre and the lessons have already been applied across projects in GoMA, Provand's Lordship and Kelvingrove. They also attended a sustainable construction course, which has helped identify improvements and efficiencies at the new Baillieston Community Hub.

 

Human Resources

To celebrate...

Our 100% scores in the 'My manager treats me with respect' and the 'My manager praises me when I have done a good job'... we'll keep doing what we are doing! Having a manageable amount of work saw the biggest improvement going up 24 points to 91%. To keep this going we will regularly discuss our workload/objectives and make sure support is there if needed.

To improve...

Our score of 77% on 'My manager provides regular feedback on how I am performing', we acknowledge at times we shy away from offering constructive feedback. During our one-to-ones we will make sure feedback is asked for and also given, as we all recognise the value we can have in each other's growth and development.

To start doing...

Having the information needed to do my job well was one of our lowest scores at 77%. To improve this, we need to have the basics in place and commit to organising our Shared Drive once and for all. We also commit to sharing the theme/types of queries we receive from managers in our team meetings, to increase our knowledge and identify potential areas where our policies and practices could be improved.

 

Development team

To celebrate...

We said we always look for ways to help our customers better, and the Development team's customers are our donors. We want to celebrate our focus on giving donors a brilliant donor experience and to share good practice examples with each other.

To improve...

We recognised that we don't always have the information we need to do our job well as that information can often sit within other services (e.g. project information for funding applications). We are going to look for practical ways to increase our access to this information and this will include IT solutions (e.g. seeking drive access to relevant services) and sharing service and project information across the wider team.

To start doing...

We highlighted some of the challenges resulting from not making effective and timely decisions, and the impact this has on delivering projects and funding applications. Although this can be out with our control at times, we discussed opportunities to improve this.  We will start to communicate clear timelines and deadlines for decision making, information sharing and required approvals. We will also highlight risks when timely decisions are not being made.
